Orlando Webcasts returns to location production of live stream events

After two months of producing only virtual webcasts and webinars, Orlando Webcast has returned to working on location for client projects. Our first project took us to the Florida Keys, where we connected our presenter with two other presenters in other parts of the country. The three then hosted a virtual event streamed live to their online audience.

Two weeks later, we live streamed two days of virtual product demos for a healthcare company. Clients around the US were invited to view the demonstrations which were streamed to the clients WebEx account. Viewers could ask questions at the end of each demo, providing the presenters an opportunity to share detailed, specific information about the equipment.

This two-camera event included monitor feeds from both pieces of equipment so viewers could see both the hardware and software capabilities and interfaces.

Orlando Webcasts was contracted by Remy Productions to handle the encoding and live streaming of the project.

Virtual meetings are the new normal

With travel grinding to a halt, along with a multitude of other changes to our daily activities, businesses and organizations have had to rethink the way they communicate with their employees, members or other stakeholders. While webcasts and webinars have been popular for more than a decade, their popularity has skyrocketed in the last two months. If someone hadn't heard of a virtual meeting, a webcast or Zoom, they have now. What once was considered an option is now considered a necessity.

Our business model changed as well. The majority of our work was at an office, hotel or conference center. Q&A goes directly to the presenters while the audience can chat with other viewers.

Live webinars and webcasts keep companies connected

Daily life for almost everyone has changed in the past month. For those of us in Orlando, March started much as usual, but in the first week, conventions begin cancelling. Walt Disney World closed mid-month, and shortly after that, Florida went on a stay-at-home order. Now mid-April, we have adapted to the new normal as best as possible.

Making webcast and live streaming event cancellations less costly

Like you, we've been affected by the coronavirus, and have adapted to how we work with our clients to provide as much flexibility and clarity as possible with our cancellation policy.

We want to make our webcast, live streaming and video production service cancellations less costly to our clients.

Effective Friday, March 6th, 2020, and updated June 10th, 2020, the following cancellation policy will apply for our projects.

Cancellation fees:
11+days; deposit refunded, minus pre-production costs*
7-10 days; 50% of fees paid
0-6 days: 100% of fees paid

Non-refundable: Preparation work we have completed is non-refundable and specifically detailed in the proposal.

Proposals are valid for 10 days, unless indicated otherwise.

*We are providing better clarity on fees that are non-refundable. When we spend time managing your project before the event begins, we'll provide a line item of those anticipated costs. Items in this category include meetings, site surveys, phone calls and emails, booking equipment and/or crews and other pre-production expenses. Those costs are non-refundable.

 

No one likes to cancel an event. It's a decision that upsets attendees, exhibitors, facilities and vendors. It can be a huge financial burden on the sponsoring company or organization. We hope our new policy provides some peace of mind to our clients in a time of uncertainty.

Conventions, conferences and meetings, oh my!

October was chock full of treats...and conventions! It's one of the busiest months for Orlando conferences - and we were equally busy webcasting and live streaming some of those events.

We started the month with the Grace Hopper Celebration, which brought more than 20,000 attendees to the Orange County Convention Center. We streamed from the 14,000 seat main hall on three days. A second team was on site to stream for 4 days from another room at the convention center.

Orlando Webcast crews streamed for two days at a All-Hands company town hall from the Orlando headquarters of a logistics company. This private event reached employees around the country with news of initiatives and strategies designed for continued growth of the company.

Our crews also provided four days of live streaming for an annual conference at the JW Marriott hotel in Orlando. We received four camera feeds, a graphics and video feed and created a custom webcast for the online audience. We partnered with one of our webcast platforms to provide Okta security integration for the event. The webcast was only available to employees who logged into their accounts through approved devices, removing the chance of unauthorized access outside the company.

In mid-October, we were part of a three-city live stream on the Zoom platform for a State of the Company town hall that combined live presentations, videos and slides from each city, along with the ability for live interaction between presenters.

We supported out-of-state productions with camera crews and equipment when their client needed video production and live streaming services in Orlando. It's always a great time to work with other streaming professionals! It's also a chance to share stories and best practices.

While video production and live streaming are our key services, we supported clients with lots more, including presentation timers, Perfect Cue slide clickers, confidence monitors, pipe and drape, Playback Pro and other equipment usually provided by outside AV vendors. Our final webcast in October took us to Coral Gables, a suburb of Miami, for a client sales meeting. While our primary encoder used the in-house gigabit internet circuit, we used the TVU One wireless modem to stream our backup feed. These units are the answer to locations where hardwire circuits are unavailable or too slow for live streaming. We averaged 45Mpbs of available upload bandwidth for this day-long conference while only needing about 4Mbps. A great product when a wireless solution is required!

October was busy and fortunately, no tricks, only great events throughout the Sunshine State!

Live streaming made easy with Orlando Webcasts

Nearly any event can be live streamed, provided the availability of a high-speed Internet connection with a minimum upload speed of 6Mbps, though higher speeds could be required for certain events. Contact the venue IT department and confirm the connection speeds, along with any associated costs. A hard line connection is preferred over a wireless connection.

Next, who is your audience? Are they employees? Investors? Fans? Does the presentation content include confidential information or do you want to reach as many people as possible?

Depending on your answers, there are several distribution methods available. Orlando Webcasts can stream to any platform or portal and we can recommend the platform that best meets your requirements.

Will a free service like YouTube or Facebook reach your audience? These outlets can reach tens of thousands of viewers and are frequently used for conferences, announcements and promotional events.

Is a paid service like UStream, Vimeo or GoToWebinar a better choice? These platforms can be password-protected, allowing only those you choose to view the live stream.

Your third option is a private webcasting platform which provides security, better integration with PowerPoint slides and video playback, a Q&A function to ask the presenter questions, detailed analytics, custom branding, an online archive of past events and other benefits. This option can also be the most expensive depending on the size of the audience and length of the webcast.

Now it's time to decide how the video and audio are going to be filmed at the event site. 

Depending on where the event is held, you may need to work with the in-house Audio/Visual company and use their crew, microphones, camera(s), lighting and other gear they are contracted to provide conferences and meetings. Large events may already have IMAG (image magnification) cameras in the general session rooms. In either case, we work with the A/V company to receive a feed from their camera and use that feed as the video source for the live stream event.

In other locations, we can supply the crew, camera, microphones and lighting. Each event is unique, so we offer customized solutions to fit the needs of each project.

Once the venue, crew and platform are selected, Orlando Webcasts will work with you to customize the look and feel of your event player, including graphics and logos, slide decks and playback videos, along with other elements needed for the webcast.

We'll schedule a site visit, confirm load-in and test times, and handle the production of your live streaming event. Post-show, we'll provide audience logistics for private webcasts,  an archive recording of the program and complete other tasks needed to wrap up the production.
