5 Tips for Efficiently Scheduling Your Video Production

When it comes to video production, scheduling can be a major challenge, so Orlando Corporate Media has created this list of best practices to help ensure your project stays on track and meets its deadlines. From coordinating with staff, senior executives and crew to securing locations and equipment, there are many moving parts to consider. Here are five tips to help you schedule your video production effectively.

IMG_20180607_135649

Start with a clear project plan.

Before you can create an efficient schedule, you need to have a clear project plan in place. This should include details such as the scope of the project, the target audience, the message you want to convey, and the desired outcome or call to action. With a clear plan in place, you can better understand the resources you'll need and the timeline required to complete the project. This is often one of the most hastily completed parts of the production, which cause problems later. Ironically, this is also one of the least expensive portions of the production. Taking time to develop the message, sort out details and have a defined project scope will greatly decrease cost overruns later.

Identify key milestones and deadlines.

When creating a schedule for your video production, it's important to identify key milestones and deadlines. This will help you stay on track and ensure that you're making progress towards your goals. Some key milestones might include completing the script, filming the video, and editing the final product. You should also set deadlines for each of these milestones to ensure that you're making steady progress towards your final deadline. By breaking your project down into smaller, manageable tasks, you'll be able to create a more efficient schedule that keeps your project on track. As mentioned above, taking the time to identify the milestones and deadlines will relieve headaches during filming or editing.

Consider the availability of your team and resources.

When scheduling your video production, it's important to consider the availability of your team and resources. Make sure that everyone involved in the project is aware of the schedule and their responsibilities. If you have team members who are only available on certain days or times, make sure to take that into account when creating your schedule. Additionally, make sure that you have all the necessary resources, such as equipment and locations, available when you need them. This will help prevent delays and ensure that your project stays on track.

Build in buffer time for unexpected delays.

No matter how well you plan, unexpected delays can still happen during video production. That's why it's important to build in buffer time into your schedule. This will give you some wiggle room in case something goes wrong or takes longer than expected. It's better to have extra time than to be rushed and risk compromising the quality of your video. Make sure to communicate the buffer time to your team and stakeholders so that everyone is aware of the schedule and can plan accordingly.

PXL_20220907_202516211

Use project management tools to stay organized and on track.

Project management tools can be incredibly helpful when it comes to scheduling your video production. There are many different tools available, such as Trello, Asana, and Monday.com, that can help you keep track of tasks, deadlines, and team members. These tools allow you to assign tasks to specific team members, set deadlines, and track progress. They also provide a centralized location for all project-related information, making it easy for everyone to stay on the same page. By using project management tools, you can ensure that your video production stays organized and on track.

Conclusion

As with most projects, planning is key to having a production completed on-time and on-budget. Spending time to sort out the details before production begins will yield a better video once completed. When you work with the team at Orlando Corporate Media, you'll be guided through the process to ensure your goals are achieved, however like all our best videos, it's a collaboration. Your engagement in the project will determine, in part, the success of the production. While we can 'go it alone,' that seldom results in the best video for you. We encourage you to be involved and use our experience to deliver an outstanding production.

Give your live stream events an upgrade!

Professional video production services by Orlando Corporate Media is an easy and effective way to upgrade your Zoom, Teams and WebEx live events.

One of our clients recently did just this with our video production and encoding services to make their event more interesting and engaging. Instead of talking with someone on their webcam, our client rented a hotel conference room where we created a professional production studio complete with lighting, wireless microphones, two cameras, live switching and other features.

Conference Room Studio
Meeting room at Orlando hotel transformed into a studio for the virtual event.

The client brought in medical instruments to showcase to existing clients looking to upgrade their equipment, along with potential clients. Using Zoom, we connected the on-site sales team with their virtual audience. Sessions were scheduled throughout the day and each included time for Q&A at the end of the presentation. We used a PA speaker connected to our Zoom laptop so the presenters could hear the moderator and audience.

Here's what our client shared in her Google 5-Star Review:
"Mike and his team at Orlando Webcasts have been instrumental to our company being able to pivot during the pandemic. As a company that operates in in-person sales and support, we needed to move fast to find a new way to connect with our customers to support our business objectives and meet our customers' needs. Mike and his team empowered our company to meet objectives in a difficult environment in a way I never imagined and gave us a competitive edge! Orlando Webcasts was our company's best find of 2020! Mike and his team are highly professional, able to adapt in high pressure environments, easy to work with, responsive, and attentive to the details! Mike is always available and willing to find a solution to anything you throw his way. His expertise helped us connect with more customers than we could in a typical trade show in a meaningful way for a lower investment. I could not recommend Orlando Webcasts any more highly!"

A review like that makes all the work worthwhile. One line, however, stands out: "His expertise helped us connect with more customers than we could in a typical trade show in a meaningful way for a lower investment." Those words reveal a new reality: virtual events can deliver better results than trade shows at a lower cost. While this client was forced to cancel trade shows due to the pandemic, they found virtual events to be a great alternative.

PXL_20211013_182310407

They delivered a highly customized interaction and it took just one hour of their customers time. Can't make the trade show? No problem. We'll bring our booth to you.

The pandemic has changed the way many companies operate and connect with the customers and employees.

Orlando Corporate Media has the team and experience to create a virtual meeting or event anywhere. Using production resources around the US, we can create an on-site production studio and stream the event live to your customers on Zoom, WebEx, Teams or any business streaming portal or platform.

Live streams: One size does not fit all

While Zoom, Teams and WebEx are everyday tools in most workplaces, some live streams require a more robust platform. That's why Orlando Webcasts utilizes over a dozen different live stream platforms. Each platform has its advantages, depending on use and the audience.

We learn what the client needs and make a recommendation for the platform best suited for their event. Sometimes there are multiple choices, each with different features and price points. Our equipment connects to any live stream service provider, so our goal is to ensure the client has a great experience with their selection.

The most requested platforms are the ones mentioned above; Zoom, Teams and WebEx. Companies, and their employees, are familiar with the platforms which makes them a default, easy choice. They are designed for full interactivity, which sometimes is not what a company may want on a specific event. Keeping people muted or cameras turned off can be troublesome and distracting to the presenter and audience.

Zoom Webinars are a good option when limited interaction is preferred, but with Zoom, branding is limited, so it may not be the right fit, especially when dealing with outside audiences that could include potential clients, shareholders, fans or other stakeholders.

On medium-sized events, we often use Vimeo as the network provider. Sometimes we stay entirely on the Vimeo platform. Other times, we deliver the stream to our in-house website (https://webcast321.com), or to a host platform where we build a custom page or microsite for the event that is branded, offers registration options and valuable viewer analytics. This is often the sweet spot for companies wanting to make a great impression at a good price point.

One the largest events, we have been using GlobalMeet, formerly TalkPoint, for more than a decade. This enterprise-grade platform ensures the security, features and capacity for thousands of viewers, along with detailed viewer analytics that are often required by Fortune 500 companies, healthcare and medical clients, and and other large organizations.

Here's a list of the live stream platforms we've connected to in the past year:

Webcast321
Zoom
WebEx
Teams
GoToMeeting
EventLive
6Connex
Cvent
IBM Video Streaming
BeaconLive
StreamYard
Vimeo
GlobalMeet
Notify
YouTube
Facebook
Twitter
Twitch
There are countless other platforms, and we can connect to any of them.

Confused? Don't be. We're here to guide you through the live stream process and recommend solutions that meet your needs. It's our goal for you to have a successful event from all sides - audience, presenters, support staff and, of course, price.

Enabling corporate communication in 2019

The heart of our mission is to enable communication. Between employers and staff. Between thought leaders and attendees. Between anyone with information to share, and those wanting and needing to hear that information. In 2019, it's easier than ever to bridge the gap between the two.

Live streaming, webcasting, webinars, streaming media - they all provide a live connection and enable employers to efficiently and effectively deliver mission critical information to their employees, no matter their location.

Orlando Webcasts provides personalized solutions to your corporate communication needs, maximizing your internal resources and minimizing external costs. Some clients may need a camera and microphones for a town hall, others may already have those in place. Other clients may utilize WebEx, Zoom or other corporate communication platforms. In both cases, we use those assets and layer our equipment or services across the gaps to provide a seamless experience.

Keeping stakeholders informed is one of the most critical missions in today's workplace. Employees want to trust their employers. Investors need to know their investment is worthwhile. New hires want to learn.

From one-time training events and quarterly town halls to a week-long conference, Orlando Webcasts provides solutions to companies and organizations of all sizes with our live streaming services.

Tips on producing a successful live streaming event

As the popularity of live streaming and webcasting continues to grow in the business world, we receive inquiries about our services and how an Orlando Webcasts live stream can be incorporated into conferences, town halls, workshops, employee meetings, promotions and other events. In this post, we'll answer the most common questions when preparing for a live streaming event.

Live streaming from an Orlando convention hotel.
Live streaming a breakout session from an Orlando convention hotel.

Nearly any event can be live streamed with the primary factor being the availability of a high-speed Internet connection with a minimum upload speed of 5Mbps, though higher speeds could be required for certain events. Contacting the venue IT department and confirming the connection speeds, along with any associated costs, is the first step toward a live stream event.

Once the internet access has been verified, there are several possible routes to live streaming your event. First, you need to determine how your live event will reach it's intended audience.

Will a free service like Facebook, YouTube or Twitter/Periscope reach your target audience? These outlets can reach tens of thousands of people, can be replayed on the platform for additional views that can sometimes be larger than the live audience.

Is a paid service like WebEx, UStream, Vimeo or GoToWebinar a better choice? We stream to those platforms, plus LiveStream, Zoom, Skype and other hosting providers that cater to the corporate market. These platforms can be password-protected, allowing only those you choose to view the live stream.

Your third option is a webcasting service which allows even more security, better integration with PowerPoint slides, presenter Q&A, detailed analytics, custom branding, access to past events and other benefits. This option can also be the most expensive depending on the size of the audience and length of the event.

Choosing the correct distribution method is an important decision. You want to ensure that the live stream reaches the stakeholders who need to see it. Orlando Webcasts works with all of the options listed above and can help you determine the best solution for your event.

Live webcast for a financial services firm.
Live webcast for a financial services firm.

Now that you've determined how you want to reach your audience, it's time to decide how the video and audio are going to be filmed at the event site.

Depending on where the event is held, you may need to work with the in-house Audio/Visual company to secure wireless microphones, a camera, lighting and other gear they are contracted to provide conferences and meetings at that site. Large events may already have IMAG (image magnification) cameras in the general session rooms. In those cases, we work with the A/V company and receive a feed from the camera and use that feed as the source for the live stream event.

In other locations, such as office buildings or smaller hotels/venues, we can supply the camera, microphones and lighting. Each event is unique, so we offer customized solutions to fit the needs of each project.

Town hall and all-hands meeting webcasts

Town hall and all-hands meetings are regular events at many companies. These meetings allow senior leadership to talk with employees about important initiatives, policies and news.

When companies have multiple offices spread around a city, or around the country or globe, the ability to address all employees at one time, in a single event, ensures all stakeholders receive the same message. That's where webcasts enter the picture!

Private, log-in protected webcasts provide a virtual venue where employees can watch and even have the ability to ask questions. The event can be viewed on virtually any web browser, including phones, tablets, laptops and desktops.

Every event is custom branded with the client logo and important information about the event. Slide decks, videos, forms or other assets can be included to enhance the experience.

Companies of all sizes benefit from clear communication with employees and Orlando Webcasts provides webcasting solutions to help achieve that goal. Contact us for details.
